HIPAA Compliance Software vs a Consultant vs a Partner Who Does Both

Software tracks HIPAA evidence; a consultant writes the risk analysis and fixes what it finds; a partner does both under one fee. How the three compare for a practice.

Software, consultant or both: which does a small practice need?

Both, in most cases, and the question is whether you buy them from two vendors or one. Software keeps evidence organized and flags what is due. A consultant is the only option that produces a risk analysis based on your actual systems and then fixes what it finds. A partner who does both removes the hand-off, which is where small practices usually lose months.

The Security Rule does not care which you choose. It asks for a risk analysis, risk management, documented policies, trained staff and business associate agreements, and it asks for evidence that each is current. HHS recognizes no software seal and no consultant's certificate. What a HIPAA risk analysis costs explains why.

Where the software is strong

The compliance platforms built for SOC 2 now sell HIPAA modules, and three names come up in every search.

  • Secureframe lists a public starting price: "Fundamentals: Starting at $7,500/year", with its Complete and Defense tiers quoted on request, according to its pricing page fetched on 6 October 2026.
  • Vanta publishes no prices. Its pricing page, fetched the same day, lists four tiers (Essentials, Plus, Professional, Enterprise) and asks you to "Request a free demo today to discuss your business needs and get personalized pricing". The Essentials tier includes "Access to expert partners for additional compliance services", which is Vanta's own acknowledgment that the platform is not the whole job. For context, a soc2auditors.org review from September 2026 reports a Vendr median of about $20,000 a year for Vanta, with the auditor paid separately.
  • Drata publishes no prices either; its pricing link redirects to the home page, which states "Trusted By 8,500+ Global Customers" and "4.8 / 5.0 G2 Reviews" as of 6 October 2026.

Their strengths are real: automated evidence collection from cloud accounts, policy templates, training tracking, vendor inventories and a dashboard that tells you what is overdue. On a cloud EHR and a cloud office suite, the integrations capture a lot without anyone lifting a finger.

Their limits are also real. A platform cannot see the imaging workstation that is not connected to anything it monitors. It cannot decide whether your front desk's shared login is an acceptable risk. It will happily accept a policy template you never read, and it signs off on nothing, because nothing in HIPAA lets it.

Where a consultant is strong

A consultant does the thing the rule actually names: the accurate and thorough risk analysis at 45 CFR 164.308(a)(1)(ii)(A), covering all ePHI the practice creates, receives, maintains or transmits. That means a site visit or screen-share through every system, staff interviews and a written document that rates each risk.

The better ones also write the risk management plan, draft policies that describe your practice rather than a generic one, and handle remediation: MFA on the email tenant, encryption on the laptops, the business associate agreement the billing vendor never returned.

The weakness is continuity. A consultant leaves. Twelve months later three staff have changed, the practice has added a telehealth platform and nobody has updated anything. Software fills that gap, which brings us back to both.

The comparison in one table

Software alone Consultant alone Partner who does both
Risk analysis Self-serve questionnaire Written from your systems Written from your systems
Remediation Your IT provider, separately Sometimes included, often not Included
Policies Templates you adapt Written for your practice Written for your practice, stored in the platform
Evidence over time Collected automatically where integrated A folder of PDFs Collected automatically, reviewed by a person
Who answers the phone Support queue The consultant, until the engagement ends A named engineer, ongoing
Pricing Annual subscription, platform only Project fee, sometimes hourly Fixed fee in writing

How to choose

Pick software alone if an IT person will own it, your systems are cloud-hosted with integrations the platform supports, and someone will do the risk analysis properly inside the tool.

Pick a consultant alone if you need the analysis for a specific reason this quarter (an OCR letter, a hospital onboarding, an insurance renewal) and you have a plan for keeping the documents current afterwards.

Pick a partner who does both if you want one agreement, one fee and one person accountable for the risk analysis, the fixes and the evidence staying current. Risk analysis vs a full compliance program helps you decide how much of the program you need now.

Either way, read the policies a small practice needs first, so you can tell a template from a policy.

Where AccuSights fits

We are the third column. You get a named engineer rather than a ticket queue, the risk analysis is written from your systems, implementation and remediation are included, and the endpoint agent is built in, so device evidence does not need a separate MDM. You have a fixed fee in writing within 24 hours of the intake form. We do not certify HIPAA compliance, because no one can. Start with the HIPAA framework page, see how we compare with the platforms, or book a free Risk Diagnosis.
